IvyLaw Law Office, LLC is an award-winning, family-oriented successful entrepreneurial law firm with a mission of making the lives of individuals and families better. We serve the immigration and estate planning needs of our clients, and we are seeking a sharp, self- driven, people-friendly, bi-lingual (English and Spanish) Legal Receptionist with admin and client services background and 2 years of law firm experience who is willing to become an important part of our team.
You will be the first point of contact for most of our clients, providing them with the highest quality of client service. You will also be in charge of intake and follow-up with prospective clients. If this sounds exciting to you, you might be THE ONE.
You MUST be technology savvy and able to handle working with several different databases of information. One of your most critical and immediate jobs will be to learn, understand, and master the systems that have contributed to our success. You must be comfortable learning other software programs.
You will need to know how to figure things out on your own and be able to creatively problem-solve situations. You will be trained and mentored. You must be able to think on your feet and make smart decisions. You must be organized and proactive. Positive people ONLY need to apply. Attitudes are contagious and we don’t want to catch yours if it’s toxic or negative, which includes drama, whining, complaining or being a victim. You will definitely not fit in if you even THINK you may be in one of those categories. If you lose stuff, aren’t organized, and get distracted easily, do NOT apply.

Primary Responsibilities
Meets and greets all visitors and employees to the firm, providing them with a professional welcome, and going above and beyond in their service approach.
Handle all incoming phone calls, schedule appointments for the attorneys, prepare materials for meetings as needed including notes about the client’s needs,
Handle intake and processing intake forms, processing payments.
Manage the Attorneys' calendars ensuring that their schedules are well maintained, resolving conflicts ahead of time.
Open new files for new clients and maintain the physical and electronic filing system.
Follow up with appointments that fall through, and follow up with leads and prospective clients.
Manage communication with clients to ensure high-quality services and provide regular basic updates on matters.
Handle other admin and clerical duties and perform other duties that may be assigned.
